The support functions (Purchasing, Sales, IT, Copyright accounting & Finance) together with a substantial worldwide distribution centre are located in Bury St Edmunds, Suffolk.

CORE RESPONSIBILITIES:

The Digital Administrative Assistant supports the Commissioning Editor for Digital in the production and maintenance of our range of digital products.

Key Objectives:

- Assist in the production and distribution of our ebook titles
- Update and maintain our extensive library of metadata and assets
- Assist with general tasks to support the wider product creation team

TASKS & RESPONSIBILITIES:

• Assist in the ebook conversion and production process. This will include:

- Technical and editorial QA of ebook files to ensure ebook formatting is correct and the files meet current specifications
- Correction of already published ebooks, which may involve changes to underlying HTML code
- Preparation of PDF files and metadata
- Technical and editorial QA of ebook files to ensure ebook formatting is correct and the files meet current specifications

• Collate eBook and Apps sales data into various Excel spreadsheets

• Assist with the editorial and creative process for new digital products and initiatives

• Liaise with Editors and Designers across Trade divisions

• Update our CMS and online product pages with new and missing metadata

• Assist with general tasks to support the wider product creation team: This will include:

- Digital archiving of assets
- Research around new publications

SKILLS & BEHAVIOURAL REQUIREMENTS:

Experience

- Proven administrative experience is essential
- Proof reading experience is essential

Knowledge

- Advanced Excel
- Intermediate to advanced Outlook
- Intermediate to advanced Word
- A knowledge of Photoshop and other image editing tools required
- Basic HTML and CSS coding ability is desirable

Skills and Abilities

- Attention to detail
- Well organised, thorough and able to prioritise tasks effectively
- Must be reliable and have the ability to use own initiative
- Excellent command of English language and excellent writing skills
- Good typing skills
- Adaptable and flexible to be able to operate in a fast paced digital publishing environment

Personal Qualities

- Strong interpersonal skills – positive attitude, needs to be a team player
- You must have a passion for music, publishing and education

Availability

Core working hours are 0930 to 1730 Monday to Friday, however you will need to be flexible and able to work additional hours as required ensuring deadlines are met.

Willing to travel to the Suffolk office from time to time, as required.
